Privacy Policy
Last updated: 19 October 2026
This policy explains how Freehand Logistics Limited ("we", "us"), a private limited company registered in England and Wales (company number 17032092), handles your personal information when you use freehandlogistics.com or contact us for a quote.
Who we are
Freehand Logistics Limited is the data controller for the information described here. You can reach us at:
- Registered office: Office 6900, 58 Peregrine Road, Hainault, Ilford, Essex, IG6 3SZ, United Kingdom
- Email: enquiries@freehandlogistics.com
- Phone / WhatsApp: +44 7888 395887
What we collect
When you request a quote, we collect what you type into the quote form:
- your name, contact number and (optionally) email address
- pickup, stop and drop-off addresses, and any notes for each stop
- the date, time and type of job, and any further description you add
We also keep any messages you send us on WhatsApp, by phone or by email. To protect the website from misuse, we count requests for address suggestions and reviews using a scrambled (one-way hashed) form of your internet address; we never store the readable address.
How we use it
- to prepare and send your quote, and to arrange and carry out the job (contract)
- to keep business records of quote requests (legitimate interests)
- to prevent abuse of the website and keep costs under control (legitimate interests)
- to meet our legal and accounting obligations (legal obligation)
We do not sell your information or use it for advertising.
Who we share it with
- WhatsApp (Meta). Pressing "Get quote on WhatsApp" opens WhatsApp with your quote details filled in. WhatsApp's own privacy policy applies to messages sent there.
- Google. A copy of each quote request is saved to our Google Sheets account. When you type an address, the text is sent to Google Maps to suggest matching addresses. Our customer reviews section is provided by Google Maps. If you allow analytics cookies, Google Analytics receives details of your visit (see Cookies; our legal basis is your consent). Google's use of this information is covered by the Google Privacy Policy.
- Our website and database hosting providers, who store quote requests on our behalf under contract.
Some of these providers may process data outside the UK. Where they do, they rely on recognised safeguards such as the UK International Data Transfer Addendum or adequacy regulations.
How long we keep it
We keep quote requests for up to 24 months so we can follow up and handle repeat bookings. Where a job goes ahead, we keep the related records for 6 years to meet tax and accounting rules. Usage counters used to prevent misuse are deleted within 40 days.
Cookies and similar technologies
Cookies are small files a website saves in your browser. "Local storage" and "session storage" work in a similar way. Essential ones keep the site working, so UK law doesn't require your consent for them. Analytics cookies are optional and only set if you allow them. We do not use advertising cookies.
Essential cookies and storage
| Name | Set by | Purpose | How long |
|---|---|---|---|
__cf_bm (cookie) | Cloudflare, our network and security provider | Tells real visitors apart from automated bots so the site stays secure | 30 minutes |
__dpl (cookie) | Our website hosting provider | Makes sure every page of your visit is served from the same version of the site | 24 hours |
fh-cookie-consent (local storage) | Us | Remembers your cookie choice so we don't ask on every page | 12 months, then we ask again |
sb-…-auth-token (local storage) | Us | Keeps the business owner signed in to the private admin area. Not set for customers | Until the owner signs out |
post-auth-redirect (session storage) | Us | Returns the business owner to the right admin page after signing in. Not set for customers | Until the browser tab closes |
Optional analytics cookies (Google Analytics)
If you switch on "Analytics" (or choose "Accept all"), we use Google Analytics to count visits and see which pages are viewed, how long visitors stay, how they found us and what type of device and browser they use. Google receives your internet address and these visit details; Google Analytics doesn't store full internet addresses. We use this only to improve the site, not for advertising, and we haven't enabled Google's advertising features. Google Analytics is provided by Google Ireland Limited and Google LLC; see the Google Privacy Policy and how Google uses information from sites that use its services. Nothing is sent to Google Analytics unless you opt in.
| Name | Set by | Purpose | How long |
|---|---|---|---|
_ga (cookie) | Google Analytics | Tells one visitor apart from another so visits can be counted | 2 years |
_ga_9HFG38JT92 (cookie) | Google Analytics | Keeps track of your current visit | 2 years |
If you later switch Analytics off, Google Analytics stops straight away and we delete these cookies from your browser.
Other technologies
- Visit statistics. Our hosting provider counts visits, pages viewed, referring websites and device type so we can see how many people use the site. This doesn't place extra cookies, doesn't build a profile of you and doesn't follow you between visits.
- Google reviews and address suggestions. When you scroll to our reviews, reviewers' profile pictures load directly from Google, so Google receives your internet address. Address suggestions are fetched by our server, not by your browser. See the Google Privacy Policy.
- Links to WhatsApp, Google Maps and Instagram. These services may set their own cookies once you open them. Their own privacy policies apply.
Changing your choice
Use the "Cookie preferences" link at the bottom of any page to change your choice at any time. You can also delete or block cookies in your browser settings; blocking essential cookies may stop parts of the site from working.
Your rights
Under UK data protection law you can ask to access, correct or delete your information, ask us to restrict or stop using it, or ask for a copy to take elsewhere. Email enquiries@freehandlogistics.com and we will reply within one month.
If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes
We may update this policy. The date at the top shows when it last changed. See also our Terms of Use.
